Case study · Example
A week of practice calls, handled by an agent.
An example of how a small team could use CallAgent. It's an illustration, not a customer story.
The situation
A physiotherapy referral service books appointments for its clients. Half of the practices it works with have no online calendar, so someone spends every morning on the phone.
The setup
The team's agent already handles email and the calendar. They connected CallAgent and gave it one brief template:
# Rolle & Ziel
Du rufst bei {praxis} an und fragst nach einem Ersttermin für {klient}.
# Regeln
- Nur Termine Mo–Fr zwischen 8 und 18 Uhr.
- Keine Gesundheitsdaten nennen außer „Ersttermin Physiotherapie“.
# Fertig wenn
- Termin mit Datum und Uhrzeit bestätigt
How a day looks
- The agent prepares one call per open request and asks a coordinator to approve them in a batch.
- If a practice offers an evening slot, the voice agent asks back and the coordinator decides.
- Confirmed appointments go straight into the calendar, and anything unclear lands in a short list for a person to check.
What it doesn't solve
Some practices only call back. Others want to speak to the client directly. In those cases the call ends with a clear note instead of a booking.
